Programme Manager – Warsaw Security Forum & Senior Specialist / Analyst

Your Responsibilities

I. Programme Manager – Warsaw Security Forum (WSF)

1. Programme Development

● Co-creating the conference programme and contributing to identification of key strategic themes.
● Coordinating cooperation between the Foundation’s thematic programmes to ensure coherence of WSF content.
● Preparing the agenda: panels, debates, closed-door formats and accompanying events.
2. Speakers & Moderators
● Identifying and inviting high-level speakers, policymakers, experts and moderators.
● Coordinating substantive preparation: briefs, talking points, session outlines.
● Managing communication with speakers, delegations and institutional partners.

3. Partners & Sponsors

● Working with institutional and corporate partners on programme-related content.
● Providing substantive support to the grants team in the implementation of WSF projects.
● Ensuring programme alignment with partners’ expectations and project requirements.

4. Internal Coordination

● Coordinating with the logistics team on session preparation, room planning and operational needs.
● Supervising programme materials (agendas, briefs, background notes).
● Cooperating with the communications team to promote WSF programme content.

II. Senior Specialist / Analyst – Foreign Policy Programme

● Preparing analyses, policy papers, commentaries and substantive materials on foreign policy, the Eastern neighbourhood, European affairs and international security.
● Monitoring international developments and geopolitical trends to identify key themes relevant to the Foundation’s work.
● Cooperating with domestic and international experts, institutions and research partners.
● Providing substantive support to the Foundation’s advocacy and strategic outreach initiatives in foreign and European policy.
● Preparing materials for speeches, debates, expert consultations and high-level meetings with policymakers.
● Representing the Foundation at expert events, conferences, consultations and workshops.

Please Note

This is a combined analytical and managerial role at the core of the Foundation’s expert and events ecosystem.
It requires strong analytical skills, excellent organisation and the ability to work effectively with international partners and high-ranking guests.

Our Requirements

● 3–5 years of experience in foreign policy, international relations, security studies, public administration, diplomacy, think-tank work or similar fields.
● Proven analytical skills and experience in preparing high-quality expert materials.
● Very good knowledge of European affairs, Eastern neighbourhood, transatlantic security and global geopolitical developments.
● Strong organisational and project-management skills, ideally with experience in managing large events or complex multi-stakeholder projects.
● Ability to work with senior policymakers, experts and high-level international partners.
● Excellent command of English (minimum C1) – required.
● Polish language skills are welcome but not required.
● Strong interpersonal communication skills and the ability to work collaboratively.
● Attention to detail, responsibility, independence and proactive problem-solving approach.
● Ability to work under pressure and manage multiple deadlines during peak periods.
● Higher education (Master’s degree preferred) in International Relations, Political Science, European Studies, Security Studies or related fields.
● Enthusiasm, openness to new challenges and willingness to develop professionally.
